Talkpush integrates with Workday to automate campaign creation through Template Campaigns linked to Job Profiles, making them more efficient, consistent, and scalable. This setup enables structured, consistent campaign generation when new requisitions are created in Workday, while also allowing flexibility to accommodate unmapped scenarios using a fallback option.

This integration is designed to achieve three key benefits:

  • Process Automation: Eliminates the need for manual setup by automating requisition management based on both global and local preferences.

  • Candidate Management: Automatically synchronizes candidate stages between Talkpush and Workday, ensuring all candidate data is consistently updated across both platforms.

  • Candidate Experience: Provides a clear, consistent application pathway for candidates, improving engagement through streamlined communication.

With the integration in place, the recruitment process becomes smoother, reducing inefficiencies and ensuring that all requisitions are handled automatically, even when some profiles are not mapped.

What Are Template Campaigns?

Template Campaigns serve as standardized models used to generate Job Campaigns automatically when requisitions are created in Workday. Templates help teams maintain consistency while reducing repetitive configuration.

Key Properties:

  • Created exclusively by Owners

  • Editable by Managers only if they’ve been granted access

  • Do not accept applications, appear in listings, or participate in Autoflows or exports

  • Must be linked to a Job Profile when created (cannot be changed later)

  • Each template must have a unique title

Required Fields for Templates:

  • Campaign Title

  • Job Type

  • Remote Type

  • Locale

  • Salary

  • Short Description

  • Long Description

  • Allow Reapplication

  • Job Profile (selected from dropdown)


How Auto-Created Campaigns Work

When a new requisition (or evergreen role) is created in Workday and linked to a mapped Job Profile, Talkpush automatically generates a job campaign based on the associated Template Campaign.

How it works

  • Uses the Requisition Name from Workday as the Job Title (visible campaign name)

  • Campaign Title follows: <Template Title> <Requisition ID>

  • Inherited data from the template includes:

    • Job Type

    • Remote Type

    • Locale

    • Salary

    • Short & Long Descriptions

    • Reapplication setting

    • Autoflow, permissions, folder structure, sourcing, and questions

  • Descriptions (short and long) from Workday can be edited after campaign creation

  • Campaigns cannot be archived manually; they are managed based on Workday requisition status

  • Fields received from Workday (e.g. Job Title, Job Profile) are locked and not editable, with the exception of address fields

📝 If the template’s title is updated, it will not retroactively change the titles of already-created campaigns.

Fallback Template Campaigns for Unmapped Job Profiles

To ensure coverage for all incoming requisitions, you can define one Fallback Template Campaign. This template is used when a requisition is received from Workday with a Job Profile that is not mapped in Talkpush.

How It Works:

  • In the Job Profile dropdown, a special entry labeled “Fallback Profile” can be selected (once only).

  • When a requisition with an unmapped profile is received:

    • Talkpush generates a campaign using the designated Fallback Template.

    • Owner users receive an email with:

      • Campaign Name & ID

      • Requisition ID

      • Job Profile used

This enables the recruitment team to take quick action, such as reviewing or updating Job Profile mappings, without losing candidates or missing requisitions.


Handling Closed Requisitions

When a linked requisition is marked as closed in Workday:

  • The associated Talkpush campaign will toggle off the “Allow New Applications” setting.

  • The campaign remains accessible in the CRM but will no longer accept new leads.

  • Archiving is not triggered as part of this process.

This ensures that all candidate data remains intact while preventing new applications from entering a closed role.


Campaign Visualization & Search

Once your campaigns are active, closed, or archived, Talkpush offers a structured way to view and manage them across three categories:

  • Active Campaigns: Campaigns linked to open Job Requisitions that are currently processing candidates.

  • Closed Campaigns: Campaigns that have been recently closed or filled. These remain visible for one month before moving to Archive.

  • Archived Campaigns: Historical campaigns that are no longer accessible for processing. While users cannot work with candidates in archived campaigns, they can still view campaign metrics and performance data.

This organization allows users to easily navigate and track the status of their campaigns throughout the entire recruitment lifecycle.


Notes and Considerations

  • Short descriptions from Workday may exceed the 80-character limit in Talkpush; longer entries will still be displayed, but formatting may vary.

  • Changes to a Template do not affect campaigns that have already been created.

  • Headcount values of zero from Workday are accepted and do not block campaign creation.

  • Only one Fallback Template Campaign can be designated at a time.
