Live Calls & WhatsApp Calls: Clear Billing and Real-Time Usage

Live Calls and WhatsApp Calls Billing is a wallet-based system that lets owner users pre-purchase call credits and automatically track usage when contacting candidates. Both call types are billed from a shared wallet, providing a unified view of wallet balance, call consumption, and billing activity.

You can add funds, download invoices, configure low-balance notifications, and export detailed usage reports for custom date ranges. All payments are processed securely, and usage is calculated automatically based on system rates.


How to Access the Billing Tab

The feature can be found in the Company Settings, under the Billing section.

How to Activate the Billing Dashboard

Here's the steps to activate the billing dashboard:

  1. Go to Company Settings and open the Billing section.

  2. Navigate to the Notifications section.

  3. Type an email address in the recipient input box.

  4. Press Enter to confirm. Repeat to add multiple recipients.

  5. Click "Save changes" after all addresses have been entered.

  6. Once a recipient is saved, the Billing Dashboard activates and will begin reflecting call usage and costs in real time.

💡 At least one user must be registered in the Notifications section to enable wallet top-ups and activate the Billing Dashboard.


Subscription View

Within the Billing section, Owners can view the current wallet balance, add funds, and monitor account status. Both Live Calls and WhatsApp Calls consume from the same wallet balance, providing a unified billing experience

Subscription Statuses

The Billing Dashboard displays a status reflecting the current state of your Live Calls subscription. Here's what each one means:

Status

Active

Live Calls is fully configured and operational. The wallet has funds and call usage is being tracked normally.

Not Set Up

The Billing Dashboard has not been activated yet. No notification recipient has been added in the Notifications section. Add at least one billing recipient and save to activate the dashboard.

Paused

The Live Calls service has been temporarily suspended. his typically happens when the wallet balance reaches zero or the service is paused by your Account Manager. Live Calls cannot be made while in this state. Top up your wallet or contact your Account Manager to resume.

How to Add Balance

Owners can add USD funds to their Live Calls wallet by following these steps:

  1. Go to Company Settings > Billing and click the Add Balance button.

  2. A modal will appear showing a purchase summary with the total amount being added.

  3. Select the amount you wish to purchase.

  4. Acknowledge the terms of agreement.

Adding funds follows a contractual purchase flow, making all funds invoiced and non‑refundable.

5. Complete the payment process using your preferred payment method.

Available Payment Methods

  • Credit Card (recommended)

    • Add and optionally save card details.

  • Bank Transfer (ACH/Wire)

    • Transfer details will be displayed for reference.

    • Funds are added once payment is received.

    • Processing may take 1–5 business days.

⚠️ To avoid service interruption, clients should account for bank transfer processing times.


Usage Report

The Usage Report provides a transaction-based view of all billing activities, including wallet top-ups, call charges, and refunds. By clicking on the Usage Report button, you can create custom time-range exports based on transaction activity rather than just calls.

Each row represents a single transaction and includes the following 15 columns:

Transaction Details

  • Transaction Date – The date and time when the transaction was recorded, based on the company’s configured timezone.

  • Transaction Type – Indicates the type of transaction:

    • usage – Charges deducted from the wallet for calls (Live Calls or WhatsApp Calls)

    • balance_added – Funds added to the wallet through top-ups

    • refund – Amounts returned to the wallet due to adjustments or corrections

  • Amount – The value of the transaction (negative for usage, positive for top-ups and refunds).

  • Balance After – The remaining wallet balance after the transaction is applied.

  • Description – A short label or summary providing context about the transaction.

Call Details (when applicable)

  • Campaign – The campaign associated with the call.

  • Application ID – The unique identifier of the candidate or application linked to the call.

  • Manager – The user responsible for initiating or handling the call.

  • Number – The phone number used for the call.

  • Call Date – The date when the call took place.

  • Duration – The length of the call, rounded up to the nearest minute for billing purposes.

  • Status – The outcome of the call (e.g., completed, failed).

  • Rate – The cost per minute applied to the call.

  • Total Cost – The total charge for the call based on duration and rate.

  • Call Type – Indicates whether the call was a Live Call or a WhatsApp Call.

If a related call has been deleted, the report will display “Deleted” in the relevant call detail fields.


Billing & Invoices

You can manage billing details directly within the tool:

  • Add or update billing information

  • View historical invoices

  • Download invoices as needed

Each invoice includes a status to indicate its progress:

Status

Paid

The invoice has been successfully settled and payment has been completed. A receipt icon is available, linking to the payment receipt.

🕐 Pending

The invoice has been generated but payment has not yet been completed. The amount is still due.

Cancelled

The invoice has been voided and is no longer payable. It will not be processed or charged.


Notifications

You can configure notifications to alert designated recipients when the wallet balance is running low. Notifications are triggered based on the configured balance threshold, ensuring that users are alerted before funds are depleted.

Additionally, when the Balance is low, the system will display a banner at the top of the screen, prompting you to check the wallet and add funds.


Call Billing and Balance Usage

Both Live Calls and WhatsApp Calls are deducted from the same wallet. WhatsApp calls are billed at a flat rate of $0.02 per minute, with call duration rounded up to the nearest minute.

Calls cannot be initiated if the wallet balance is zero once billing is enabled. When attempting to place a call without sufficient balance, a tooltip message will appear when hovering over the call button, indicating that the action is not possible.


Q: How are call usage and costs tracked?

A: Call usage is automatically recorded for your account, and costs are calculated based on your contracted pricing configuration. All usage and charges are reflected directly in the billing feature and usage reports.

Q: Are all call destinations available, including international calls?

A: Call availability and supported destinations depend on your contracted telephony setup. If you require international calling, this must be confirmed prior to activation to ensure your services is configured correctly.
