Export Candidates lets you download candidate data whenever you need it. Run a one-time export instantly, or set up a recurring export that runs automatically on a daily, weekly, or monthly basis. You can also review previous exports, rerun them using current candidate data, and cancel exports that are still in progress.
What You Can Do
With Export Candidates, you can:
Run a one-time export whenever you need candidate data.
Schedule recurring exports to run automatically.
Choose exactly which columns to include in each export.
Name exports for easier identification.
Review previous exports, including the filters and columns used.
Re-run previous exports against current candidate data.
Cancel exports that are still running.
Setting Up an Export
Follow these steps to create a one-time or recurring export.
Select the candidates you want to export from your candidate list, then click Export Candidates from the bulk actions bar.
Choose which fields to include using Select Columns.
Select individual fields to export only specific data.
Enable All Columns to include every available field, including documents, attachments, and custom data.
Leaving Select Columns empty no longer exports every field automatically. You must either select individual fields or enable All Columns.
Review the Date Added filter.
If your candidate list already has a Date Added filter applied, it is automatically carried over to the export. You can edit or remove it here without changing the filters on your candidate list.Choose how often the export should run. Available options include:
Once
Daily
Weekly
Monthly
Recurring exports also require you to choose a time. Weekly and Monthly schedules additionally require you to select the day the export should run.
Click Export for a one-time export or Schedule Export for a recurring export.
Enter a name for the export. The name helps you identify the export in the Exports page and in the confirmation email you'll receive when the export is ready.
Note: If you schedule a recurring export using an absolute Date Added range, the same date range will be used for every scheduled run. For recurring exports, leave Date Added blank or use a relative date range instead.
Managing Scheduled Exports
Scheduled exports appear in the Scheduled Exports table. Each row displays:
Export name
Next scheduled run
Number of selected columns
Number of applied filters
Current status
Export frequency
Statuses
Status | Description |
✅ Active | The export is scheduled and will run at its next scheduled time. |
🟡 Processing | A scheduled export is currently running. |
❌ Inactive | The schedule has been paused because one of its filters (such as a campaign, folder, or custom attribute) no longer exists. You'll receive an email identifying the missing filter. |
Updating or Removing a Schedule
You can change an export's frequency at any time using the inline frequency selector. The next scheduled run is automatically recalculated. If you change the frequency to Once, the export runs one final time before being removed from Scheduled Exports. To permanently remove a scheduled export, click the Delete (trash) icon.
Reviewing Previous Exports
The Previous Exports table shows completed, cancelled, failed, and currently running exports — including both one-time and scheduled exports.
Statuses
Status | Description |
⏳ In Progress | The export is currently being generated. |
✅ Completed | The export finished successfully and is ready to download. |
❌ Failed | The export could not be completed. |
⛔ Cancelled | The export was manually stopped before completion. |
Cancelling a Running Export
To stop an export that's currently running:
Open Previous Exports.
Locate the export with the In Progress status.
Click the Cancel (x) icon.
The export stops immediately, and its status changes to Cancelled.
Note: Only exports that are In Progress can be cancelled.
Preventing Duplicate Scheduled Exports
To help avoid duplicate automation, Talkpush prevents you from creating scheduled exports that duplicate an existing schedule. A duplicate schedule includes either: the same columns and filters, or the same scheduled day and time.
One-time exports are not checked for duplicates. Each manager can have up to 30 active scheduled exports.
Can I edit a scheduled export?
Yes. You can change its frequency at any time using the inline frequency selector. The next scheduled run is updated automatically.
Why did my scheduled export become inactive?
A scheduled export becomes Inactive when one of its required filters—such as a campaign, folder, or custom attribute—has been deleted. You'll receive an email identifying the missing filter.
Does Re-run download my previous export again?
No. Re-run generates a brand-new export using the same configuration against your current candidate data.
