With the increasing need for remote work and digital solutions, Docusign has emerged as a leading application for electronic signature or e-signature. Docusign allows individuals and businesses to sign documents digitally, from anywhere in the world, without printing or mailing physical documents.
Talkpush + DocuSign
One of the widespread use cases of Docusign is in the onboarding process of candidates. In Talkpush, Docusign creates onboarding documents, such as contracts for hired candidates. The process begins by creating a subdomain account for the client in Docusign. The contract template is then obtained from the client, and the changing fields are identified. These fields will be used as candidate attributes, eliminating the need for manual contract editing for each hired candidate. The contract is uploaded to a Docusign template, and text fields and data labels are added to the contract template. The template is then connected to Talkpush, and a template is selected per campaign.
Note: Only one document template can be chosen per campaign, but one template can be used for multiple campaigns.
Concepts:
Documents: These files need signatures, such as contracts or offer letters.
Document Sent: The email notification has been sent to at least one recipient. The envelope remains in this state until all recipients have viewed the documents.
Document Delivered: All recipients have viewed the documents.
Both Documents sent and signed are only shown in "reports" and "history
Envelopes: These are the packages that contain the documents. Customers are charged per envelope sent; each envelope can have one or more documents.
The Benefits
Single source of truth: All information is logged and tracked in Talkpush, eliminating the need to switch platforms and reducing the risk of data loss.
Better analytics: Combined sourcing and hiring data provide exact metrics, including hiring rates per sourcing channel.
Consistent candidate experience: Automated communication sequences before and after contract issuance drive higher engagement.
Faster process: Messaging notifications increase response rates and reduce the need for follow-up.
Cost-effective: Talkpush offers heavily discounted rates for DocuSign, resulting in a 50% cost savings for customers.
Integrating with DocuSign
To integrate with DocuSign, you can contact your Account Manager, who will later arrange a meeting between you and our Solutions Engineer to scope your needs, define the flow, and discuss the pricing options. The integration can only be activated for clients who have acquired the Onboarding Solution.
How DocuSign Looks in Talkpush
Here's how the integration will look for users with Owner Access. A dedicated tab that includes all the DocuSign templates, with a 'Fetch' option to incorporate new Templates in Talkpush. Go to Company Settings > DocuSign.
After templates are imported, they can be linked to a campaign, and they will be sent once the candidate is placed in the DocuSign trigger folder 'For Contract'.
Here is the standard flow for our document delivery & signing process:
The candidate completes the necessary fields during the application process, which are recorded as 'Candidate Attributes'.
The candidate is moved to a custom folder called 'For Contract'.
The document is sent to the candidate's email address for signature.
Once the document is sent, the 'Document Status' attribute is updated to 'Document Sent', and the candidate is moved from the 'For Contract' folder to the 'Contract Issued' folder.
When the candidate opens the document, the 'Document Status' attribute is updated to 'Document Delivered'.
When the candidate signs the document, the 'Document Status' attribute is updated to 'Document Signed', and the candidate is moved to the 'Hired' folder.
Note:
It's important to note that once a candidate has signed a contract, it cannot be voided. If a new contract needs to be issued, keep in mind that both the old and new contracts will appear separately in DocuSign.
