The Autoflow Sets feature helps you manage Autoflow across campaigns seamlessly. Companies who reutilize the same Autoflow configurations throughout different campaigns can manage them via a single screen. The modularity and reusability components of Autoflow Sets make the difference.

Imagine your company runs 10 campaigns, each requiring candidate rejection, document requests, or assessments. Without the usage of Autoflow Sets, modifying these configurations meant updating each campaign individually. With Autoflow Sets, simply edit the main set, and changes propagate across all linked campaigns. It’s that simple.


How to use Autoflow Sets

Within the Autoflow Sets tab, you'll have the option to create new Autoflow Sets, Manage them (edit, disable, duplicate, archive) and configure other preferences. Check the step-by-step below.

Create Autoflow Sets

  1. Open Autoflow Sets by Clicking 'Templates' > 'Autoflow Sets'

  2. Click 'Create a New Set' chose the name & color (color-coding your Autoflows can help you stay organized)

  3. Start configuring the individual Autoflows that will constitute the Autoflow Set.

Edit Autoflow Sets

  1. Open Autoflow Sets by Clicking 'Templates' > 'Autoflow Sets'

  2. Click on any existing Autoflow Set from the blocks

  3. From here you can:

    1. Edit the Autoflow Set name & color scheme by clicking the 'pencil icon'

    2. Add individual Autoflow Actions: Click + Add Action

    3. Manage Individual Autoflow Actions by clicking the three-dotted menu (⋮)

      1. Edit: Edit the triggers, criteria, actions & content

      2. Disable: Keep the action on the list without it triggering

      3. Duplicate: Duplicate the same action

      4. Archive: Remove the autoflow from the list

Assign Autoflow Sets to Campaigns

Note: When you enter the editor all former configurations will be replaced by the new ones. We recommend tracking the Autoflow Sets you wish to link to avoid undesired changes.

  1. Open Autoflow Sets by Clicking 'Templates' > 'Autoflow Sets'

  2. Find the 'Proceed' Button inside the 'Assign Sets to Campaigns' box

  3. You will find the list of Autoflow Sets, select all the Sets. Click 'Add' to confirm.

  4. Once you've sorted your list of Autoflow Sets and arranged them in your preferred order, find the Campaigns you wish to link them to (one, multiple, all).

  5. Click 'Assign' to execute the process..


Q: Are Autoflow Sets and Autoflow the same?

A: While they use the same logic, Autoflow Sets group individual Autoflows for a specific purpose and link them to campaigns, whereas Autoflow is configured within each campaign.

Q: Can Autoflow Sets and Autoflow be used simultaneously?

A: No, a campaign can only use one at a time. However, different Campaigns within a Company can use either method.

Q: How can I switch from individual Autoflow to Autoflow Sets?

A: The first step is to create your Autoflow Set scheme, once you're ready with all the configurations, you can activate Autoflow Sets, when you do this, all your individual Autoflows will be archived.

Q: How will I be informed about the progress of assigning Autoflow Sets?
A: After proceeding, a feedback message will inform you that assigning the Sets may take a few minutes. You can track progress in the 'Progress Notification' section, which will display the specific progress in a full-screen view, similar to the Export option. The Bulk Action Log will show columns such as Autoflow Set Name, Campaign Name (with hyperlink to Autoflow settings of the campaign), Assigned on (timestamp), and User (user that assigned the set).

Q: What if a Set includes a trigger related to a Folder not accessible in one or more campaigns?
A: An alert will appear with the message: “The following campaigns do not have access to the <Folder Name> Folder used in this Set. <List of Campaigns>.” You will have two options: Back to Editing or Add Folder to Campaigns. By choosing Add Folder to Campaigns, those folders will be included in the campaigns as if added in the Folder Settings. This action is only possible from the Templates tab, as these users already have Owner access, not from Campaign Settings.

Q: What happens if I try to leave without adding any Autoflow actions?

A: A pop-up message will appear, explaining that at least one Autoflow is required to save the Set. You will have two options:

  • Leave without saving: Go back to the Autoflow Sets main view.

  • Create an autoflow: Directly configure an Autoflow.

Q: Can I edit Autoflow Sets after creating them?
A: Yes, Owners can edit Autoflow Sets to add, remove, or reorder Autoflows. However, deletion of an Autoflow Set is not allowed in this version. When saving edits, a confirmation message will inform you that changes will be applied to all campaigns using the Set.
