What each CRM Analytics report shows

Written by Kyla Landicho

CRM Analytics has eight reports. Process Funnel has its own article: Build and read a Process Funnel. The other seven are described here: who each one is for, which date it uses and what you will see.

1. Demographics

This report is designed for sourcing and employer-brand teams to understand applicant demographics and application patterns. It uses the date each lead applied, based on your company’s time zone, to show where applicants are located, who they are, and when they apply. These insights help you understand the composition of your applicant pool and identify the best locations and times to target your recruitment efforts.

What you will see:

  • Leads Volume: bars and lines over time. The bars are leads and completed pre-screening, and the line is the completion rate.

  • Leads Breakdown: a stacked bar chart of hired, screened but not hired, and not screened.

  • Where candidates are: a map. Switch between Hotspots and Countries and choose what the map measures. The country is where the candidate was when they applied, as the CRM recorded it, so it can differ from the campaign’s country.

  • Screened Candidates by Method: a horizontal bar chart. Gender: one bar per gender.

  • When candidates apply: a heat map of applications by day of the week and hour. A darker square means more applications.

  • Leads by Campaign Country: a stacked bar chart over time. Leads by Country and Leads by Source: tables.

2. Sourcing

This report is designed for sourcing and marketing teams to evaluate the effectiveness of different lead sources. It uses the date each lead was added to Talkpush to compare how many candidates each source brings in and how well those candidates progress through the recruitment process. These insights help identify which sources generate the highest volume of leads and which are most effective at producing candidates who complete pre-screening and get hired.

What you will see:

  • Leads Volume: bars and lines over time, as in Demographics.

  • Leads by Source over Time: a stacked bar chart that you can switch to grouped.

  • Source Performance: a horizontal stacked bar chart with one bar per source category (up to 15), split into hired, screened but not hired, and not screened. Switch between counts and percentages.

  • Number of Leads by Source: a sunburst chart. The inner ring shows the source categories and the outer ring the individual sources.

  • Leads by Source: a table with one row per source, biggest first.

  • Source vs Current Folder: a heat-map table showing where the leads from each source are now. Candidates in Current Folder: a horizontal bar chart.

  • Screening Method by Source Category: a horizontal bar chart.

Use the Default | Talkpush switch to change how sources are grouped.

3. Campaigns

This report is designed for recruiters and campaign owners to compare recruitment campaign performance. It uses the date each lead was added to Talkpush to track how effectively campaigns generate leads, move candidates through pre-screening, and result in hires. These insights help identify which campaigns attract the most candidates and which are most successful at converting applicants into hires.

What you will see:

  • Leads Volume: bars and lines over time.

  • Campaign Outcomes: a stacked bar chart of each campaign’s leads split into hired, screened but not hired, and not screened.

  • Campaign Ranking: a table with each campaign’s leads, unique candidates, percent screened and hires.

  • Leads by Campaign: a stacked bar chart of leads per campaign over time. The eight campaigns with the most leads are named and the rest are grouped as Other.

  • Campaign Type vs Folder: a sunburst chart. The inner ring shows the campaign types and the outer ring the folders the leads are in now.

  • Campaign Types: a table with one row per campaign type.

4. Recruiter Productivity

This report is designed for team leads and recruiting managers to monitor recruiter activity and understand how long candidates wait for action. It tracks activity over a period of up to three months, showing how leads are handled, how quickly recruiters move candidates through the process, and where delays occur. These insights help managers assess workload, improve response times, and identify backlogs that may need attention.

What you will see:

  • Team productivity: tiles for the whole team. Recruiter scorecard: a table that includes the median time recruiters take to act.

  • Recruiter activity over time: a heat map with one row per recruiter and one column per day or week. A darker square means more actions.

  • Team activity per day: bars for recruiter actions and automated moves, with a line for the number of active recruiters.

  • When recruiters work: a heat map of activity by day of the week and hour.

  • Backlog by assigned recruiter: a table of how long leads have been waiting.

  • Actions by recruiter: a horizontal bar chart. Whose leads recruiters work and Moved by Recruiter by Folder Source: tables.

Only manual movements by recruiters count as recruiter activity. Automatic and system moves are left out.

5. Hiring

This report is designed for hiring managers and talent leaders to track hiring outcomes and understand how long it takes to hire candidates. It uses the Hire Date as the primary date, with the option to filter by Added Date, to measure hiring volume, time to hire, and hire rates across different sources, campaigns, and recruiters. These insights help assess recruitment effectiveness and identify which sources, campaigns, and recruiters contribute most to successful hiring.

What you will see:

  • Tiles: total hires, unique hires, median and average days to hire, leads in the period and hire rate.

  • Hires over Time: bars for hires with a line for the median days to hire.

  • Time to Hire: a bar chart of how many hires took under a day, 1–3 days, 4–7 days and so on.

  • Completion Method: a horizontal bar chart. Hires by Source over Time: a stacked bar chart.

  • Source Category, Campaign Title and Recruiter Leaderboard: tables.

Two dates, two jobs

  • Hire Date (required) decides which hires are counted.

  • Added Date (optional) keeps only hires whose lead was added in that range and defines the group of leads the hire rate is measured on.

6. Candidate Experience

This report is designed for Talent Acquisition teams and chatbot owners to evaluate the candidate pre-screening experience. It uses the date each lead was added to Talkpush to show how candidates progress through chatbot screening, where they stop responding, and how long the process takes. It also provides insights into applicant feedback, helping teams identify opportunities to improve chatbot performance and the overall candidate experience.

What you will see:

  • Where Candidates Stop: a horizontal bar chart of the last chatbot question each candidate left unanswered.

  • Stops over Time: a stacked bar chart. Stops by Campaign: a table.

  • Chatbot: Time to Complete Pre-Screening and Screened Candidates by Screening Method: bar charts that you can switch between stacked and grouped.

  • Applicant Experience and Applicant Feedback: a donut chart for the total and a bar chart by month.

  • Leads by Time of Day and Applications by Day of Week: bar charts.

7. Communications

This report is designed for team leads and administrators to monitor communication between recruiters, automations, and candidates across email, SMS, Facebook Messenger, WhatsApp, and calls. It uses UTC calendar dates to track communication activity, including message volume, channel distribution, and delivery errors. These insights help teams understand who is communicating with candidates, which channels are being used, and whether messages are being sent successfully.

What you will see:

  • Tiles for communications, successful, outbound, inbound and errors, each compared with the previous period of the same length.

  • Communications over Time: a stacked bar chart that you can break down by type, source, direction or status.

  • Success and Errors: a horizontal stacked bar chart. Busiest Days of the Week: a stacked bar chart. Type by Source: a heat-map table.

  • Communications by Manager: a horizontal stacked bar chart. Manager Leaderboard: a table.

  • SMS section: focuses on what was actually sent, meaning outbound SMS with no error, counted in segments (SMS is charged per segment). Errors are shown next to it in red and are not counted as sent. It has stacked bars over time with a line for messages, a bar chart by sender, a donut chart by message type, and a table by manager.

  • Calls section: a stacked bar chart of calls over time, a horizontal bar chart of calls by status, and the total call time.

The numbers use UTC dates, so a message sent late in the evening in your time zone can appear on the next day.

Not for billing

This report shows communication activity only. Do not use it to calculate, check or dispute charges. Its counts and segments can differ from what is billed. For credits and actual usage, use the Open Telco Billing link at the top of the report, which opens your company’s Telco Billing page.
