Duplicate Management by Folder

Set how each folder blocks or allows repeat applications

Duplicate Management also works at the folder level, so you decide exactly when a candidate can reapply based on which folder their current application sits in. This setting lives in Company Settings → Duplicate Management, and only users with Owner access or permission to Company Settings can change it.

Set a Duplicate Behavior for Each Folder

Every folder in your pipeline can have its own duplicate rule. Here's how:

  1. Go to Company Settings → Duplicate Management.

  2. Use the search box or the quick filters above the table to find the folder you want to update.

  3. Open the dropdown next to the folder and choose one of three behaviors. See the table below for what each one does.

  4. Repeat for any other folders you want to change. Rows with unsaved changes are flagged, with a Discard changes option if you want to undo an edit.

  5. Click Save to apply your changes.

Note: A newly created folder defaults to Blocks. A folder that existed before this update keeps whatever it was migrated to — Cooling Period, matching how duplicate checks already worked for you — until you change it.

The three behaviors work like this:

Blocks

A candidate sitting in this folder cannot reapply.

Blocks During the Cooling Period

A candidate can reapply once the folder's cooling period has passed.

Allows

A candidate can always reapply, no matter how long they've been in this folder.

Where This Rule Applies

Whichever behavior you choose for a folder now applies consistently everywhere a candidate can apply — your job landing page, WhatsApp, and Messenger. Duplicate checks previously behaved differently across these channels; now the same folder setting decides the outcome across all three.

Finding Folders Faster

The quick filter tabs above the table — All, Blocks, Cooling Period, and Allows — show a live count for each behavior, so you can see at a glance how your folders are currently configured. When you have more than 15 folders, the list is paginated.

Each folder's row also includes a short explanation of how its current behavior affects a candidate sitting in that folder — click See more to expand it.

Important: Changing a folder's setting doesn't move or re-flag anyone already sitting in that folder. It only changes what happens the next time someone tries to apply again — including if you shorten or lengthen the cooling period itself.

Note: If you haven't touched this setting, nothing changes for your existing folders — they were automatically set to Cooling Period, matching how duplicate checks already worked for you before this update.


Q: What happens to applications submitted before I change a folder's setting?

A: They keep following whichever rule was in place when the candidate applied. Only new applications follow the updated setting.

Q: Does changing one folder's setting affect other folders?

A: No. Each folder's behavior is set independently, so changing one doesn't change any others.

Q: Does this setting behave differently depending on how the candidate applied?

A: No. The same folder setting now decides the outcome whether the candidate applied through your job landing page, WhatsApp, or Messenger.

Q: What counts as a duplicate — does the email and mobile number both need to match?

A: No. If either the email or the mobile number matches an existing application in that folder, it's treated as a duplicate.

Q: What happens if I move a candidate to a different folder?

A: The rule for whichever folder they're in now takes over immediately. Moving a candidate out of a folder that blocks reapplication and into one that doesn't lets them reapply right away.
