Setting up a hiring process usually means clicking through a lot of screens: campaigns here, folders there, routing somewhere else, automations in yet another place.
Clara can do the setup with you in a conversation. Describe what you want, give her the details, and she builds it: campaigns, pipeline stages, routing rules, screening flows, and automations.
Here's what she can set up, and what she needs from you for each.
📢 Campaigns & Stage Messages
Create campaigns — set up a job posting with title, location (city, country, address), workplace type (fully remote, flexible, or on-site), target headcount, target language, job brief, and job board and social distribution settings.
Update campaign settings — adjust duplicate application rules (allow or block, plus cooling-off periods), open or pause applications, change descriptions, or update job profile details.
Configure stage messages — customize the automated messages candidates receive as they move through your pipeline, by email (subject and body) or by chat, SMS, and WhatsApp.
Stage | Message is sent when |
Inbox (Invitation) | A candidate first enters the screening pipeline. |
Shortlisted | A candidate advances to a preferred evaluation stage. |
Completed | A candidate finishes the interview or screening steps. |
Rejected | A candidate moves to a disqualified stage. |
Clara needs:
To create a campaign: title, location details, employment type, and target headcount.
To update a campaign: its name and the settings to change.
For stage messages: the campaign, pipeline stage, channel, and message text. You can use tokens like {{first_name}}, and approved WhatsApp template IDs where applicable.
📁 Folders
Shape your pipeline to match the way you hire:
Create custom stages like Hiring Manager Review, Background Check, or Offer Extended, and attach them to specific campaigns or set them as workspace defaults.
Rename stages across your hiring workflow.
Reorder the sequence of stages in the recruiter pipeline.
Attach or detach folders, adding an existing folder to a campaign or removing a stage you don't need.
Clara needs: the folder name, the target campaigns, and the order you want in the pipeline.
👥 Campaign Access & Round-Robin Routing
Get the right candidates in front of the right recruiters:
Access control — grant or revoke recruiter and hiring manager access to specific campaigns.
Round-robin assignment — add or remove managers from automated distribution pools.
Segmented routing — give recruiters segmentation labels to route candidates by shift preference, language, or territory, based on candidate attributes.
Sticky assignment — keep a candidate paired with the same recruiter across multiple interview bookings.
Clara needs: the campaign name, the managers' names or email addresses, and your routing rules: round-robin participation, segmentation tags, and sticky booking preferences.
❓ Screening Questions, Question Sets & Campaign Flows
Build your screening once and reuse it everywhere:
Question templates — add reusable questions to your central library: short text, multi-line text, number, date, single-choice dropdown, multiple choice, audio or video response, file upload, or appointment booking.
Question sets — group related questions into modules like Basic Qualifications, Technical Assessment, or Voice AI Prescreen.
Campaign screening flows — sequence questions and sets within a campaign, and add conditional skip logic. For example, ask question B only if the candidate answered "Yes" to question A.
Clara needs:
For questions: the question text, response type, answer choices, and the candidate profile attribute that stores the answer.
For flows: the campaign, the full ordered list of questions and sets, and any branch or skip conditions.
⚡ Autoflows & Autoflow Sets
Let your pipeline run itself:
Draft and test rules — check your qualification criteria against real candidate records before going live, and see exactly how many candidates match.
Create autoflows — trigger actions when candidates enter, update within, or exit a folder, such as sending emails, dispatching SMS, applying tags, or auto-advancing stages.
Create autoflow sets — name, reorder, and bind reusable bundles of automations across multiple campaigns.
Control order and status — adjust the order actions run in, add delays of minutes, hours, or days, and enable or pause automations.
Clara needs:
The target campaign or autoflow set name.
The trigger folder and event (enter, update, or exit).
Qualification conditions: candidate attributes, operators, and target values.
Action details: message templates, tags, delays, and the destination folder.
🔒 Folder Move Restrictions
Keep your process on track by deciding where candidates can go next:
Restrict transitions — set strict paths out of a folder. For example, candidates in Applied can only move to Prescreen or Rejected.
Lift restrictions — restore free movement, so candidates can go from that folder to any pipeline stage.
Clara needs: the origin folder and the full list of folders candidates may move to, or a request to remove the restrictions.
✅ Note: Write actions, such as creating campaigns or changing folders, are approved one by one. You confirm each action individually before Clara carries it out.
