The Teams Tab: Build Custom AI Agents for Your Hiring Workflow

Build custom AI agents and let Clara hand them the right work.

Clara is Talkpush’s built-in AI agent. But with the Teams Tab, she does not have to work alone.

The Teams Tab lets your company build custom AI agents for the work your team handles repeatedly or wants to delegate. Each agent can have its own purpose, instructions, and access to Talkpush data and actions.

Once an agent is active, your team can work with it in three ways:

  • Let Clara bring it in. When your request matches an agent’s role, Clara can ask that agent to help.

  • Ask an agent directly. Use an @mention when you already know which agent you need.

  • Run work automatically. Create a routine so an agent handles the same task every day.

This article covers how to create, configure, and manage custom agents in the Teams Tab, control what they can read and do, work with them directly, and automate recurring tasks with routines.

Important: Every manager in your company can see the Teams Tab and its active agents. Only users with Owner access can add, edit, activate, disable, or delete agents. The Teams Tab is not turned on by default. Contact your Account Manager to turn it on for your company.

How Clara Works with Your Custom Agents

Clara is your main point of contact. When you ask for something that fits one of your custom agents, she asks that agent to handle it and tells you who is working on it. The agent's name appears in the conversation while it works, and the agent shares the results there.

When no custom agent fits, Clara answers or acts on her own, as she always has. You do not set up the hand-off. Clara decides when to ask an agent for help.

Note: Clara works with your managers, not your candidates. Candidates cannot chat with Clara or your agents through this feature.

Customize the Agents Clara Works With

The best part is that you decide which agents Clara can bring in. Build an agent for work your team repeats, such as a daily report, and give it the instructions and access it needs. Once the agent is active, Clara can ask it for help when a request fits.

  • Describing the job in plain language – Build an agent by chatting with Composer instead of filling in a long form.

  • Controlling access – Decide what each agent can read and do.

  • Approving changes – Actions that change your data wait for your approval.

  • Automating daily work – Schedule a routine so an agent runs a task every day.

Find Your Agents in the Teams Tab

Click Teams in the top navigation bar. The tab only appears when Teams is turned on for your company. Clara is the built-in agent and appears first in the list. You build every other agent. Each agent shows one of these statuses.

Status

What it means

Active

The agent is live. Every manager can chat with it and @mention it.

Disabled

An Owner turned the agent off. Only Owners see it, and its routines are skipped until an Owner enables it again.

Draft

The agent is not live yet. Only the Owner who started it sees it.

How Agents Differ from Autoflow and Message Templates

Feature

What it does

Follows fixed rules, such as "when a candidate enters this folder, do X".

Stores fixed text you reuse across channels.

Agents

Follow your written instructions and use the tools you allow. An agent acts only when someone chats with it, @mentions it, Clara asks it, or a routine runs.

Create a Custom Agent

You build an agent by chatting with Composer, which fills in a draft card as you answer its questions. Only users with Owner access can create agents.

  1. Click Teams in the top navigation bar.

  2. Click Add agent. The Composer chat opens and asks what the agent should help with.

  3. Answer Composer's questions. A draft card titled New agent fills in as you go.

  4. Check that all five items on the draft card are set. The counter shows N of 5 set.

  5. Click Activate agent.

The agent appears in your list with an Active status, and Clara can now ask it for help. To change its avatar or color, use the Appearance section on the draft card. If you are not ready to activate, leave the draft and come back later, or click Delete draft to remove it.

Name

What people call the agent. Talkpush also creates its @handle from this name.

The data the agent can see, such as campaigns, folders, and candidate data.

The actions the agent can take, such as moving or tagging applications.

Written guidance the agent follows each

time it works.

Note: The @handle is created when you first save the agent and does not change if you rename the agent later.

Choose What an Agent Can Do

Tools decide what an agent can read and do. Each tool is tagged Read or Write in the agent's Configuration panel. Read tools only look at your data. Write tools change it, and their actions wait for your approval.

Create, update, and move applications, assign a manager, and send a candidate message.

Campaigns

Create and update campaigns, update message settings, and set campaign permissions.

Create, update, reorder, attach, and detach folders, and update transition rules.

Questions

Create and update questions and question sets, and update a campaign's questions.

Asking other agents

Ask another agent for help in a conversation. Every agent has this by default.

Change an Agent's Tools

The Configuration panel is read-only, so you change tools through Composer. Only users with Owner access can do this.

  1. Click Teams in the top navigation bar.

  2. Click the agent you want to change.

  3. Click Edit with Composer.

  4. Tell Composer which tools to add or remove.

The change takes effect without a publish step, and the Log records the edit.

Ask an Agent Directly with @

You do not have to go through Clara. Use an @mention to ask a specific agent for help. Type @ and the agent's handle, such as @maricel. @mentions work in Clara widget chats, an agent's Chat section, and routine run chats.

  1. Open a conversation where you want an agent's help.

  2. Type @ in the message box.

  3. Select the agent from the People and agents-to-mention list.

  4. Write your request after the handle.

  5. Send the message.

Agents can also @mention each other. The agent decides when to ask for help, and you do not configure it. The second agent reads the whole conversation and answers in it. In a routine run chat, text without an @mention is a note for the people in the run, not a message to the agent.

Routines

A routine is a prompt that an agent runs every day at a time you choose. Routines are available only on active custom agents, not on Clara or drafts, and only the agent's owner can add or change them. Your company can have 20 active routines by default, and paused routines do not count toward that limit.

Set Up a Routine

  1. Click Teams in the top navigation bar.

  2. Click the agent you want to assign a routine to.

  3. Click Routines.

  4. Click New routine.

  5. Write the agent's instructions in the Prompt field. You can use up to 8,000 characters.

  6. Select Every day in the Repeats field.

  7. Set the Time.

  8. Select Only during business hours or Every day, including weekends.

  9. Click Create routine.

Times follow your time zone. If a run is due outside business hours, it moves to the next opening. To change a routine later, click Edit routine, then click Save. You can also Pause, Resume, or Delete the routine, or click Run now for a one-time run.

Review Routine Runs

Each run opens as its own chat in the Teams Tab, runs as you, and posts the answer there. Talkpush does not send routine results by email or Slack. Open a run from the routine's Runs list or click View all routine runs on the agent's profile. A badge marks unread runs.

The agent is working on the run.

Needs confirmation

The agent is waiting for you to approve an action.

Completed

The run finished.

Failed

The run did not finish. Open the run to see what happened.

Log

The Log records changes to an agent and its routines, such as when an agent is created or updated, when a routine is created, updated, or deleted, and when a routine run starts or is skipped. Each entry shows who made the change, what they did, and when. To open it, click Teams, click the agent, then click Log. Clara and drafts do not have a Log.

Note: The Log does not list conversations or errors. To find out why a run did not finish, open the routine and check its Runs list for a Failed status.

Candidate conversations

Agents work with your managers. Candidates cannot chat with or @mention an agent.

Campaign or team assignment

You do not assign an agent to a campaign or team. The Can read and Can do items set what it can see and do.

Interview scheduling

There is no scheduling or calendar tool, so an agent cannot book interviews.

Routine frequency

Routines run daily only. Weekly, monthly, and event-based triggers are not available.

Metrics and version history

There is no performance dashboard, and you cannot view or restore earlier versions of an agent.

Q: Do I need to @mention an agent for Clara to use it?

A: No. Clara can ask an active agent for help when your request fits it. You can also @mention an agent yourself.

Q: I cannot see the Teams Tab. Why?

A: The Teams Tab is off by default and appears only when Talkpush turns it on for your company. Contact your Account Manager to request access.

Q: Why can't I add an agent?

A: Only users with Owner access can add, edit, activate, disable, or delete agents. Other users see the message "Only company owners can build agents."

Q: Can I create more than one agent?

A: Yes. There is no set limit on the number of agents.

Q: Is this the same as Templates > AI Agents?

A: No. Templates > AI Agents is a separate feature for voice agents. The Teams Tab is for agents your managers chat with and @mention.
