How to set up your shortlist and rejection reasons and how to use them.

Talkpush offers predefined reasons for shortlisting or rejecting candidates. This helps recruiters monitor candidates' strengths and weaknesses, ensuring transparency for all involved. These reasons provide valuable feedback to candidates and positively reflect on the company. By automating this process, recruiters save time by not having to write reasons for each candidate manually..

Configuring this feature requires Owner Access to add or edit shortlist/reject reasons in the Company Settings. However, all users can use the feature when shortlisting or rejecting candidates.


Steps to add Shortlist and Rejection Reasons:

  1. Go to the Company Settings tab.

  2. Click on Communication Settings in the left column.

  3. Scroll down to the "Shortlist Reasons" or “Rejection Reasons” section.

  4. Enter the reason you want to add.

  5. Click the "Add" button to save.

The saved reasons will be displayed below the add option.

Under the Rejection Reasons, you can utilize the setting below to delay the rejection message.

Note: If your candidates haven't received the message yet, ensure enough time has elapsed.


How to delete Reasons

Owners can remove added reasons by clicking on the "x" icon and confirming their action by selecting the "delete" button.


How do you use the added shortlist/rejected reasons?

  • For single candidates

  • For Bulk actions

  • For Messages

  • For Autoflows

For single candidates

  1. Select a candidate from the candidate list to be shortlisted or rejected.

  2. Click the shortlist/reject button in the candidate profile's action buttons.

  3. A pop-up will appear, showing all the created shortlist/rejection reasons.

  4. Choose the reason(s) you want to apply. You can select multiple reasons from the list and toggle the message template on or off.

  5. Click the "Proceed" button when done.

Note: Reasons for shortlisting/rejection will be recorded on the candidate profile and displayed in the Attributes drop-down menu as a candidate attribute.

For Bulk actions

  1. Select candidates by clicking on their profiles. Bulk action options will appear automatically.

  2. Choose the bulk action you want to perform, such as transferring candidates to the shortlist or rejected folder.

  3. You can toggle the message template on or off when shortlisting or rejecting candidates.

  4. Select one or more Shortlist/Reject reasons. These reasons won't be sent to the candidates but will be noted on their profiles.

  5. Click the "Continue" button to transfer the candidates to the Shortlisted or Rejected folders.

For messages

To add the Shortlist or Rejected reasons in your messages, the reasons should be added to the candidate profile as an attribute before sending them the message.

Once the reason is saved as a candidate attribute, you can add the shortlist or rejected reasons token and send the automated message.

The token will reflect the reasons added to the shortlist or rejected in the message.

You can set it up in the Campaign Settings for each campaign through the Message Settings:

  1. Open the Message Settings from the Campaign Settings of the campaign.

  2. Select the Shortlist or Rejected sections.

3. Create or edit the message you are sending either through SMS, Facebook or

WhatsApp.

4. Click Save.

  1. Add an action in the Autoflow campaign settings

  2. Create a Trigger

3. Now, you can add the action for the added trigger. Click on the Add Action button.


4. Type in the message and include the Shorlisted or Rejection reasons token.

toggle on a message template that was created in message settings.

5. Click Save

Now, whenever the candidate is in the Shortlisted folder, and their candidate data matches the value you have saved, they will receive the Shortlisted/Rejected reasons.
