Interview Pass

Turn walk-in interview days into a paperless, trackable check-in flow.

Written by Perry Santiago

Interview Pass is a dedicated Talkpush app that replaces paper sign-in sheets at walk-in interviews and high-volume hiring events. You generate a unique QR code pass for candidates in a campaign folder, send it through your existing Talkpush channels, and scan it at the venue for an audited check-in.

Every generated pass link and scan timestamp is written back to the candidate record in Talkpush, so reporting stays in one place. Only users with Owner Access typically handle the initial setup and attribute mapping.

Dashboard

The Dashboard is the first screen after login. It gives you a live overview of pass activity for your company.

Four stat cards across the top show:

Total Passes

All passes ever generated for this company.

Active

Passes that are currently valid and ready to be scanned.

Scanned

Passes that have already been scanned at the venue.

Today's Check-Ins

Successful check-ins recorded today — most useful during live events.

Below the stats, two panels give you quick access to the most common actions:

Quick Actions — three shortcut buttons:

Open Scanner — launches the QR Scanner tool directly.

View All Passes — goes to the full Passes list.

Manage Configs — opens the Pass Configurations page.

Recent Scans — shows the latest scan attempts with the candidate name, scanner, result, and timestamp. Click View All to open the full Scan Logs page.

Passes

The Passes page is the master list of every interview pass generated for your company. Each row shows the candidate name, campaign, interview date (if set), creation timestamp, scan information, and current status.

To find a specific pass, search by candidate name or campaign. You can also filter the list using the All Statuses dropdown, which includes:

Active

The pass is valid and ready to be scanned.

Scanned

The pass has been successfully checked in and is recorded in Scan Logs.

Expired

The pass is past its validity window and can no longer be scanned.

Cancelled

The pass has been manually deactivated. Any scan attempt returns Pass Invalid.

Click the three-dot menu on any row to view the full pass detail, copy the candidate link, or cancel an active pass. To generate passes for a new batch of candidates, click Generate from Config in the top-right corner and select a Pass Configuration.

Note: Re-running generation on a configuration is safe — existing passes are preserved and only new candidates receive new passes.

Configs

The Configs page is where you create and manage Pass Configurations — templates that define which campaign folder passes are generated from. Each configuration links a Talkpush campaign and folder so that every candidate in that folder receives a pass when you run generation.

Each configuration card shows its name, linked campaign, folder, status, and creation date. Click the three-dot menu on a card to generate passes, edit, or delete the configuration.

To create a new configuration, click + New Configuration and fill in:

Configuration Name — a descriptive label, e.g. 'Manila Walk-In Interviews'.

Campaign — select one or more Talkpush campaigns from the dropdown.

Folder — select the folder whose candidates will receive passes.

Scan Logs

The Scan Logs page is the chronological audit trail of every scan attempt for your company. Each entry shows the candidate, who performed the scan, the result, and the timestamp.

Use Scan Logs to resolve check-in disputes — if a candidate says they haven't been scanned, the log shows whether, when, and by whom any scan was recorded. Click Open Scanner in the top-right to launch the scanner directly from this page.

Scanner

The Scanner is the mobile-optimized QR validation tool used at the venue. Open it from the sidebar, the Dashboard's Open Scanner quick action, or the Scan Logs page. The scanner auto-starts your device's rear camera when the page loads.

How to scan a pass

1. Open Scanner from the left navigation or a Quick Action button.

2. Point the camera at the candidate's QR code on their phone.

3. Wait for the result card — a green checkmark confirms a successful check-in.

Scan results

Each scan returns one of four results:

Check-In Successful

First valid scan of an active pass. Check-in is confirmed and synced to Talkpush.

Already Scanned

Pass was scanned before. Shows the original scan timestamp.

Pass Invalid

Pass is expired or cancelled — cannot be checked in.

Pass Not Found

QR code doesn't match any pass in the system.

Note: Grant the browser camera permission the first time you open the Scanner. Camera access requires an HTTPS connection.

Q: Do candidates need to log in to view their pass?

A: No. The candidate-facing pass page is fully public — no login required. That's why the link should always be sent through your authenticated Talkpush channels.

Q: What happens if I run pass generation again for the same configuration?

A: Existing passes are preserved. Only new candidates added to the folder since the last run receive new passes.

Q: Can a cancelled pass be reactivated?

A: No. Cancellation is permanent. To check a candidate back in, re-run pass generation on the relevant configuration — they will receive a new pass.

Q: Where do check-in results appear in Talkpush?

A: The scan timestamp is written back to the candidate record in Talkpush via the attribute mapped in Settings > Talkpush Attribute Mapping. You can use this attribute in filters and Autoflow rules. See What are Candidate Attributes? for more on how attributes work in Talkpush.
