Measure why you are shortlisting/rejecting candidates

Talkpush provides users with the set shortlist and rejected reasons for their Talkpush accounts. This tool enables recruiters to track candidates' strengths and weaknesses, creating a sense of transparency for both the candidates and the recruiters. Shortlist and Rejected reasons serve as performance feedback for the candidate's application and offer a great impression of the company. The hassle-free use saves time for the recruiter by preventing manual writing of the reasons or remarks for applicants being rejected or shortlisted.

Note: To configure this feature, users must have Owner’s access to add or edit the shortlist/reject reasons from the company settings tab. However, users without owner access can use the feature easily while shortlisting or rejecting candidates.

Steps to add Shortlist Reasons:

  1. Navigate to the Company Settings tab.

  2. Click on the Communication Settings from the column on your left.

  3. Scroll down to the section under "Shortlist Reasons."

  4. Fill in the blanks with the reason you wish to add.

  5. To save your work, click the "Add" button.

Steps to add Rejected reasons:

  1. Go to the Company Settings tab.

  2. Select Communication Settings from the left side.

  3. Scroll down to the section on Rejection Reasons.

  4. Fill in the blanks with the reason you want to add.

  5. Click the "Add" button to save your work.

The saved reasons will be displayed below the add option.

Note: The user with “Owner” access can delete the added reasons by clicking on the "x" icon and then confirm their action by hitting the "delete" button.

You may also use the setting below to delay the Rejected message. If your candidates have not received the message, check if the appropriate time has passed.

How to use the added shortlist/rejected reasons?

Note: All users can access this feature.

For a single candidate

  1. Select a candidate to be shortlisted/rejected from the candidate list.

  2. On the candidate profile's action buttons, click the shortlist/reject button.

  3. A pop-up will be displayed, directing you to all the shortlist/rejection reasons created.

  4. Select the reason you want to save to the application. Users can choose one or more reasons from a clickable list of options; you can toggle ON/OFF the message template from being sent out.

  5. When finished, click the "Proceed" button.

For Autoflow

When creating an Action on Autoflow, you can transfer a candidate to the Shortlisted or Rejected folders.

  1. Turn on the Add reasons toggle.

  2. Click the + button next to the related trigger.

  3. Choose whether to add one of your existing reasons or create a new one.

For Bulk actions:

  1. Select the candidates by clicking on their profiles. The bulk actions will be shown on your screen automatically.

  2. Choose the Bulk action you want to perform, i.e., transfer candidates to the shortlist or rejected folder.

  3. When shortlisting/rejecting candidates, you have the option to turn the message template ON/OFF.

  4. Before proceeding, select one or more shortlist/reject reasons. This will not be sent to the candidate, but it will be placed on their profiles.

  5. Click on the continue button to transfer the candidates to shortlisted/rejected folders.

Once that is done, reasons for shortlisting/rejection will be recorded on the candidate profile and displayed in the Other Information section.

For messaging

Note: To add the shortlist or rejected reasons in your messages, the reasons should be added to the candidate profile before sending them the message.

  1. Select a candidate to be shortlisted/rejected from the candidate list.

  2. On the candidate profile's action buttons, click the shortlist/reject button.

  3. A pop-up will be displayed, directing you to all the shortlist/rejection reasons created.

  4. Select the reason you want to save to the application. Users can choose one or more reasons from a clickable list of options; you can toggle ON/OFF the message template from being sent out.

  5. When finished, click the "Proceed" button.

Once you see that the reason is saved in the other information of the candidate, you can add the shortlist or rejected reasons token and send the automated message.

The token will reflect the added shortlisted or rejected reasons in the message.

You can set it up in the Campaign Settings for each campaign through the Message Settings.

  1. Open the Message Settings from the Campaign Settings of the campaign.

  2. Select the shortlist or rejected sections.

Shortlisted:

The message that a candidate will get if their profile has been shortlisted, type in the message including the shortlist/ rejected tokens, and click on save.

Note: To send this message when you shortlist or reject, you will come across this notification while adding the reasons; when you turn the toggle to the notify the candidate option, the message that was saved in the campaign settings will be sent to the candidate including the reasons you added.

Rejection:

Same as the Shortlisted message, but you reject a candidate for the case. So you can add the rejected reasons to the profile of the candidates and add this type of rejection message to the message setting of the campaign and save it.

A rejection message will be sent to the candidate, including your selected reasons.

You can set it up in the Campaign Settings for each campaign through Autoflow.

The option lets you use a conditional setting to send the automated message with shortlisting or rejected reasons.

  1. You can go to the Autoflow option in Campaign Settings.

  2. Create a trigger for the campaign.

E.g., you want to create a trigger for shortlisting candidates.

✔️Step 1. Select the Campaign and folder that will be the shortlisted folder, click on the Next button.

✔️Step 2. Now, you can select the candidate data that matches the candidate attribute and enter the candidate data's values. Click on the Save button.

✔️Step 3. Your trigger will be added.

✔️Step 4. Now, you can add the action for the added trigger. Click on the Add action button.

✔️Step 5. A Choose Action panel will appear; select the Send Message button from Send Message actions.

✔️Step 6. Once that is done, you can type in the message and include the Shorlisted reasons token. Click on the Save button.

✔️Step 7. The action will be saved, and your autoflow setup to send a message with the shortlisted reasons will be saved.

Now, whenever the candidate is in the Shortlisted folder, and their candidate data matches the value you have saved, they will receive the shortlisted reasons.

Note: The same procedure can be used to send automated rejection messages via autoflow. Changing the target folder to the Rejected folder and add the Rejection reason token in the message you want to send.

The message received by the candidate will reflect the Shortlisted/Rejection reasons that you have already added to their profile before moving them to the Shortlisted or Rejected folder.

Tips and tricks:

You can also use this tool to utilize these data to fine-tune parts of the process that aren't working (rejection grounds might include pay expectations, lack of equipment, and language abilities) and determine if you are targeting the appropriate talent pool. You can keep track of the reasons precisely, and they can be split by source, campaign, and so on. Thus, providing very useful feedback for the recruitment process.

  • Filtering by reject/shortlist reason

    Click ‘Add Filter,’ then select from the list of data points(shortlisted/rejected reasons) + select value, and click outside the filter to load, and that’s it. The candidates with the selected reasons will be displayed in the list.

  • Exporting reject/shortlist reasons

    You may include the reject and shortlist reasons when exporting your candidates. For this to be an option, you can contact your Account Manager and request them to enable the Reject/Shortlist Reasons Candidate Attribute.

And that’s all by using shortlist/rejected reasons, and you can monitor if applicants met or did not meet your acceptance requirements. Making it easily accessible for the recruiters to note and comprehend the logic.
