Autoflow Actions

Go through each of the different Autoflow actions one by one!

Written by Talkpush Admin

After the Create Trigger step, which involves selecting and filtering candidates targeted by Autoflow, next is Add Action, where you'll choose the action Autoflow needs to execute.

When you click the Add Action button, you will see all the Autoflow actions available:

Let’s go through each of the actions in this video by Perry from our Product Support Team.

Bulk Actions

A. Move Candidate - migrate the candidate to a folder or campaign.

  1. Click on Move Candidate, then select a Campaign and the Folder you want your candidates to move to.

  2. You can re-assign candidates to a different campaign or folder by clicking the re-assign toggle button. Then hit Save. Please note that when candidates are moved to another campaign, they will receive questions and tasks specific to the new campaign, ensuring a customized interaction experience designed for that campaign.

Note: Be advised that the inbox folder is excluded from the list when trying to move candidates to either the same campaign or another one. To move a candidate to an inbox folder, use the option below.

B. Create an Application - invite a candidate to another campaign’s Inbox.

  1. Click on Create Application, then select the campaign you want to invite the candidates to. Then they will automatically be moved to the Inbox folder.

  2. Click on the Send Message toggle button to send the invitation message to candidates.

  3. If you turn on the "Do not keep a copy of the application" button, you will no longer see the current application. If it’s turned off, as a Duplicate Warning, this action will create a copy of the application in the new campaign and keep the current application.

  4. You can also click on the re-assign candidates button for the new profiles to be re-assigned to recruiters. Then hit Save. Leads placed in the Inbox folder of the new campaign will restart their interaction and complete the designated tasks specific to that campaign.

C. Assign Labels - assign multiple labels to the applicant

  1. Click Assign Labels and select the label you want to assign to the candidates. Optionally, use the Replaces dropdown to select an existing label to replace with the new one.

  2. Click Save.

D. Trigger Job Matching - generate the matching score of incoming applications.

To use the Job Matching action, you must ensure that you have configured the Job Matching feature. According to the attributes' values and the weight selected for each, a job matching score will be generated on the Candidate Profile.

To determine Job Matching via Autoflow, select your Folder and Trigger and finish configuring your Job Matching settings if needed. Then, select the Job Matching Action and hit Save.

E. Share Profile - automatically share candidate profiles with team members and guests via WhatsApp and email.

F. Add Data — Automatically add or update information in a candidate's profile by assigning a value to an existing candidate attribute based on your Autoflow trigger.

After setting the criteria for the candidates you want to update, select the Add Data action and choose the candidate attribute you want to modify.

There are two options for updating the attribute:

Option 1: Set a Value

Use Set a value to assign a specific value to the selected candidate attribute.

  1. Select Set a value.

  2. Enter the value you want to assign. You can type it manually or select from the Suggested Values configured in your Candidate Attribute Settings.

  3. Click Save.

Option 2. Replace Current Values

Use Replace current values to give each candidate a new value based on the value they already have, all from one action. This helps you clean up or translate an attribute, such as turning codes into readable labels, without creating a separate Autoflow for each value.

  1. Select the action Add Data.

  2. Select the candidate attribute you want to update.

  3. Choose Replace current values.

  4. Enter the value to look for in Current value.

  5. Enter the value to replace it with in New value.

  6. Click Add a value to add another pair.

  7. Click Save.

  8. Turn on the Autoflow. Every Autoflow starts turned off.

Save stays disabled until you select an attribute and fill in at least one complete pair. Talkpush ignores a row with only one of its two values filled in.

For example, with a Civil Status attribute:

Current value

New value

1

Married

2

Single

A candidate with a Civil Status of 1 changes to Married, and a candidate with 2 changes to Single. A candidate with 3 keeps 3, because that value isn't listed.

Note:

  • Exact match: A current value must match exactly, including capitalization. Spaces before or after the value are ignored.

  • Typed values: You type both values in each pair, so Suggested Values aren't offered as choices here. Enter each one as it should appear on the profile.

  • Values not listed: Talkpush doesn't change or save the candidate's profile, so that candidate's profile doesn't re-trigger other Autoflows.

  • Runs once per application: If a candidate's value isn't listed when the action runs, the action doesn't run for that application again, even if you add the value later.

  • Candidates already in the folder: An Autoflow without conditions runs only when a candidate enters the folder. An Autoflow with conditions also runs when an application in the folder is updated, so candidates already there are processed at their next update. To change candidates who are already in the folder right away, use the bulk action below.

Replace Values with a Bulk Action

To replace values on candidates you select yourself, use the same option in the Set Attribute bulk action.

  1. Select the candidates.

  2. Choose Set Attribute from the bulk action menu.

  3. Select the candidate attribute.

  4. Choose Replace current values.

  5. Fill in the Current value and New value pairs.

  6. Click Continue, then confirm.

The same matching rules apply. Candidates whose value isn't listed stay unchanged, but the bulk action still counts them as processed, so the total in the progress log can be higher than the number of values changed. If the action goes above your account's limit, it waits for Bulk Action Approval, and the request shows each replacement, for example 1 → Married, 2 → Single.

Set It Up with Clara

Users with Owner access can also ask Clara to create or update an Add Data Autoflow that replaces current values. Clara shows the replacements in a confirmation card before saving. When you update the action's values through Clara, give the full list of pairs, because the list you give replaces the previous one.

G. Send Question Set - send follow-up Questions from a set configured on Templates.

The Follow-up Question Set is a group of questions configured in the Question Template Library that you can send to candidates at any point during their application process via Autoflow.

When configuring the Send Question Set action, you have the following options:

  1. Send a specific Question Set: Select the Question Set you want candidates to complete.

  2. Send a random Question Set: Check Select multiple to send one at random and choose multiple Question Sets. The Autoflow will randomly select one to send to each candidate.

  3. Show the Question Set immediately: Check Show it right away if the candidate is still on the careers page to display the Question Set immediately after a candidate completes an AI interview, without requiring them to wait for the message.

Under Send Message, compose the message candidates will receive and include the Interview Link token so they can access and complete the Question Set through the landing page.

Once everything is configured, click Save.

Send Message Actions

This Autoflow action allows you to send a message automatically to candidates and choose the platform where to send it to. It can be sent via Email, SMS, Messenger, and WhatsApp. If you select a specific channel, a message template dropdown is available where users can select a saved message template to be sent.

🚀 Please note that if the template message was edited in the Autoflow it will be unlinked from the Message template and will not be affected by any changes to the original template.

If you select the Send Message option, the message will be sent via the last platform used to reach the candidate. Note that Whatsapp has a character limit of 1600. If it's the last messaging platform used, the message will not be delivered if it exceeds the limit.

Manually type the message you want to send. You can use tokens to help you with your message and Attach files.

Note: The messaging channel priority is as follows: Preferred Communication channel > Last channel used > Messenger > WhatsApp > Email > SMS.

This Autoflow feature can delay all the actions mentioned above for a set amount of time. Click on the Delay Action button, set the number of Days, Hours, and Minutes of the delay, and hit Save.

Note:
The Autoflow Action Delay feature does not overwrite the delay set in the Company Settings > Communication Settings.

For example, if an Autoflow has a delay of 1 day and the Rejection message settings have a delay of 24 hours, it will take two days for the reject email to be received.

Q: What does the error "cached plan must not change result type" mean?
A: This error is due to a problem with our database infrastructure. These errors are rare and usually fix themselves. If we see this error message again, it will likely resolve on its own, and the autoflows will restart automatically.

Q: What happens if I change the candidate attribute name and key in an active Autoflow?
A:
The changed name will automatically be applied to all questions where it has been mapped. The attribute will be labeled as "Disabled" in the Autoflow, causing the Autoflow not to trigger
